Service

Please read these terms carefully before using YUMA Verifier. By accessing the App, you agree to the conditions outlined below.

Welcome to YUMA Verifier (“the App” or “Service”), operated by YUMA Services (“we,” “us,” or “our”). By accessing, using, or managing an account within YUMA Verifier, you (“Merchant,” “Business,” or “User”) agree to be bound by these Terms of Service. If you do not agree to these terms, you may not access or use the application.

Scope, Provisioning, and Nature of Service

1.1 Service Overview

YUMA Verifier is an automated, cloud-hosted backend and mobile application suite designed as an internal bookkeeping, automated receipt verification, daily cash/expense recording, and customer credit tracking tool for retail and business merchants operating in the Kingdom of Bhutan.

1.2 B2B Manual Account Provisioning

Account registration is not available within the mobile application. Merchant accounts and access credentials are created exclusively via administrative manual provisioning by YUMA Services.

1.3 Device Locking and Access Control

To safeguard merchant financial data, newly paired mobile devices are locked by default. Access on any new device requires administrative approval. We reserve the right to enforce rate-limiting, session expiration (e.g., 30-day token rotation), or device suspension at our discretion to prevent unauthorized access.

1.4 No Direct Financial Integration & Merchant Banking Info

YUMA Verifier is an independent software tool. It does not process monetary transactions, move funds, store bank account credentials, or connect directly to bank APIs, the Royal Monetary Authority (RMA), or the BFS SECURE payment gateway. YUMA Services does not collect bank account credentials or private financial setup data from Merchants; the only store or bank details processed by the App are those publicly displayed by the Merchant on their storefront, bill counters, or public QR standees.

Optical Character Recognition (OCR), LLM Parsing, and Verification Limits

2.1 Decision-Support and Extraction Disclaimer

The App utilizes automated Optical Character Recognition (OCR) engines (including Gemini-3.1-flash-lite) and Fallback Large Language Models (including GPT-4o mini) to extract structured text from payment screenshots and paper expense receipts.

2.2 Algorithmic Verification

Verification statuses (such as verified, manually_verified, flagged_mismatch, flagged_date_mismatch, or flagged_manual_review) are computational estimates based on image metadata, text patterns, and expected transaction amounts. They do not constitute legal proof or guarantee of final bank settlement.

Credit Ledger, Customer Records, and Messaging

3.1 Customer Tab & FIFO Tracking

Merchants utilizing the customer credit ledger service acknowledge that running tabs, credit entries, and First-In, First-Out (FIFO) outstanding tracking are based entirely on inputs controlled by the Merchant.

3.2 Mandatory Consent for WhatsApp Reminders

The App enables automated or scheduled overdue reminders sent to customers via messaging gateways (e.g., WhatsApp). The Merchant expressly warrants that it has obtained all necessary prior consents from its customers before entering their phone numbers into the App and triggering automated messages.

3.3 Customer Disputes

YUMA Services plays no role in end-customer relationship management. Any dispute regarding tab balances, prices, payment statuses, or automated reminders is strictly between the Merchant and its end-customer.

Cash Sales, Expenses, and Bookkeeping Features

4.1 Bookkeeping Assistance

The App allows Merchants to record daily cash sales and to scan or extract paper business expense receipts (stored via secure cloud storage). These features are provided to help Merchants maintain organized internal business records.

4.2 No Professional Advice or Statutory Guarantee

App features are not a substitute for professional accounting, bookkeeping, or legal/tax advice. YUMA Services makes no representation or warranty that records generated or maintained by the App satisfy any specific statutory, tax, or regulatory record-keeping requirement in the Kingdom of Bhutan.

4.3 Data Accuracy and Merchant Backups

The Merchant is solely responsible for verifying the accuracy of all data entered, scanned, or confirmed within the App, and for maintaining independent backups of critical business records outside of the Service.

4.4 Tax Obligations

YUMA Verifier is strictly an operational record-keeping tool. It does not determine, calculate, alter, or reduce the Merchant’s tax liabilities, which are governed independently under applicable Bhutanese tax laws (including regulations enforced by the Department of Revenue and Customs).

Data Storage, Retention, and Account Deletion

5.1 Image Data Retention

Payment screenshots, scanned expense receipts, and associated media uploaded to the Service are retained on secure cloud storage (AWS S3) for a maximum period of twenty-four (24) months from the date of upload, after which they may be permanently purged.

5.2 Right to Deletion

Merchants hold the right to request full account termination and deletion of all associated store data, customer ledgers, and transaction records.

5.3 Statutory Compliance Disclaimer

Deletion of data from YUMA Verifier permanently removes records from our servers. The Merchant retains sole legal liability under the laws of Bhutan for maintaining compliant business and accounting records for legally mandated retention periods. YUMA Services assumes no liability for merchant records lost due to account deletion requested by the Merchant.

Acceptable Use, Anti-Harassment, and Fraud Handling

6.1 Prohibited Misuse

Merchants shall not use verification outputs, flags, or receipt extracts to harass, publicly shame, black-list, or unlawfully detain customers.

6.2 Reporting

YUMA Services is not a law enforcement entity and does not maintain public criminal registries. Suspected financial fraud or altered receipts must be handled through legal channels, such as reporting to the Royal Bhutan Police (RBP) or the Competition and Consumer Affairs Authority (CCAA).

Subscription Fees and Billing

7.1 Subscription Requirement

Access to and use of YUMA Verifier requires a paid subscription, billed to the Merchant on a monthly basis at the rate communicated during initial signup or as subsequently updated under Section 7.4.

7.2 Non-Payment & Grace Period

If a subscription payment is not received by its due date, the Merchant will be granted a grace period of five (5) calendar days to settle the balance. If payment remains outstanding after the 5-day grace period, access to the App will be suspended. YUMA Services may restore access upon receipt of overdue fees.

7.3 Refund Policy

Except where required by applicable law, subscription fees already paid are non-refundable unless the Merchant submits a refund request within ninety-six (96) hours of payment and has processed no more than ten (10) total transactions within the App during that monthly billing cycle.

7.4 Fee Changes

YUMA Services reserves the right to modify subscription fees upon providing reasonable advance notice within the App or through direct communication. Continued use of the Service after a price change takes effect constitutes acceptance of the updated pricing.

7.5 Cancellation

Merchants may cancel their subscription at any time. Cancellations take effect at the end of the then-current billing cycle, after which access to the App and associated services will be suspended.

Limitation of Liability

To the maximum extent permitted under the Information, Communications and Media Act 2018 of Bhutan:

  • YUMA Services, its operators, and developers shall not be liable for any uncollected funds, inventory loss, improper extension of customer credit, inaccurate expense reporting, or financial errors resulting from reliance on the App.
  • We are not liable for service interruptions, server downtime, network latency, or third-party API/messaging gateway outages.

Governing Law and Dispute Resolution

These Terms are governed by and construed in accordance with the laws of the Kingdom of Bhutan. Any dispute or legal proceeding arising out of or in connection with these Terms shall be subject to the exclusive jurisdiction of the competent courts of Bhutan.
